HOURS: 40 hours per week/Monday to Friday 8am-5pm with a 1 hour lunch break

Job Specification – What responsibilities will you have?

The successful candidate will be the sole receptionist for our boutique firm of 20 staff; the first impression and welcoming face for our clients and visitors.

The primary aspect of this role is to answer the main office telephone lines and be responsible for greeting visitors to the office. The volume of calls and meetings fluctuate and so when not dealing with these priority tasks, the following additional tasks will form part of the receptionist’s role (training will be provided):

a.    Opening, preparing and closing the office facilities daily; cabinets, blinds, meeting rooms, reception, heating, air conditioning, replenishing the printers with paper etc.;

b.    Greeting clients and visitors upon arrival and making refreshments;

c.     Answering all telephone calls in the first instance, supported by the admin team, directing calls to the relevant person and/or taking detailed messages where necessary;

d.    Taking new enquiry calls daily from potential clients and allocating to case handlers to provide complex legal advice;

e.    Logging new enquiries on the case management system daily and adding all enquiries with ‘potential’ to excel for follow up;

f.     Following up on new enquiries by phone, text and email as instructed by the legal team daily;

g.    Retrieving and sending all Criminal Justice Secure Mail (CJSM) emails throughout the day immediately upon receipt of notification/instruction;

h.    Retrieving all new notifications and documentation from the Crown Court Digital Case System (CCDCS) daily;

i.      Conducting telephone interviews with clients who have consented to being a ‘featured client’ on our website and arranging filming of interviews where requested;

j.      Responsible for scheduling suitable social media posts in accordance with the firm’s guidelines on numerous social media platforms;

k.    Opening and scanning in all post & faxes received to the case management system and distributing to the allocated post checkers daily;

l.      Acknowledging all incoming post received from clients daily;

m.  Weekly online orders of stationery and refreshments according to the core stock list;

n.    Replenishing first aid kits;

o.    Testing of the fire alarm weekly;

p.    Testing of all firm telephone numbers, text messaging service and websites weekly;

q.    Preparing refreshments for the Managing Director daily;

r.     Taking and drafting minutes of firm meetings;

s.    Coordinating parking for staff, clients and visitors;

t.     Organising staff events.

We work in a fast paced, high pressured environment so it is extremely important that you read and respond to all of your emails throughout the day, understanding the sense of urgency associated with instructions received, and have open communication with all of your colleagues.

m.  Strong prioritisation skills – an awareness of urgency in the industry we work in;

n.    Strong organisation skills – experience of responding and dealing with all emails/instructions the same day (no backlog of more than 24 hours);

o.    A professional attitude and appearance;

p.    Approachable and non-judgmental of our clients and the allegations they face, often including drink driving and drug driving;

q.    Strict adherence to our duty of confidentiality;

r.     Enjoys working independently; and

s.    Motivated by helping others (clients and your colleagues).
